How to leverage labels to organize and segment locations, data, and users

Labels can be very helpful when managing your business on an account level, and it will significantly improve the way you operate. You can benefit from using labels on the Locations page, in Analytics, when building Reports, or managing Users.

Use labels to manage locations

Locations is where labels live. It is where they are created and edited, but you can also use your labels to easily sort, group, and filter your locations.

Sort and group locations by labels

You can sort your locations either by name or by label. A major benefit of sorting by label is the ability to group your locations based on their label values. For example, if you have a label with the name "Region" with values such as "South", "North", "East", and "West", you can cluster your locations accordingly.

To sort and group by label, simply click the title of the label you wish to sort by. Sorting is activated once you see the arrow appear next to it.

  • Click one time to sort in ascending order (A-Z)

  • Click one more time to sort in descending order (Z-A)

  • Click a third time to go back to sorting by Name, which is default

When sorting and grouping by label, locations without values for the chosen label will be excluded.

Filter locations by labels

Another way to organize your locations with labels is to use the filter. To open the filter modal, click Filter. All your labels are listed here. To narrow down the list of locations, select the label values you want displayed from the dropdown(s).

From the filter modal, you can also make filtering choices based on a location's status (active vs inactive). The blue badge on the filter icon indicates how many filters you currently have applied.

Note: All selections related to sorting, grouping, and filtering are cleared once you navigate away from the Locations page. You can save your filter by bookmarking the page, as the selections are stored as URL query parameters. Bookmarking will not save your sorting selections.

You can of course combine filtering and sorting/grouping to make sure your view is perfectly tailored to your needs.

Leverage labels in Analytics

You can leverage labels in Analytics by using the filtering functionality. Here is how you do it.

  1. Click on Filter to open the filter panel

  2. In the panel, click in the Locations dropdown

  3. A modal opens, where you should click Filter in the top right corner

  4. Now, choose the label you want to filter by, and select the label value(s) you want included

  5. Click Apply filter once finished

  6. With the label filter applied, you can now choose to include all or some locations tied to that label

  7. Click Done once you have selected the locations you want included

With the label filter applied, you will only see data from the locations that have the selected label value(s) applied.

Use labels to create segmented reports in Report builder

Labels can be very useful in your reports, as a way for you to better understand what is happening where in your business. After following the steps to create a new report, you can leverage your different labels by 1) selecting which locations to include based on their labels, 2) leveraging your selected labels as a level of detail, or 3) applying the labels as a filter when building the report.

Include locations in reports based on labels

You can choose to include only certain locations in your reports based on their label values by selecting Select locations in the location selector section of the report builder.

From there, you'll be able to filter your location choices, and select locations based on your labels.

However, if you schedule a recurring report, please note that the locations selected here are static. This means that if you add a new location to a label after you have created the scheduled report, they will not be included in the report. Therefore, if you want to include only locations under a specific label in a scheduled report, it's better to use the filtering option described further down in this article.

Leverage labels when setting levels of detail

Additionally, you can leverage labels as levels of detail. This means that they will show up as a column in your reports, displaying the respective value that is assigned to each location.

To do this, click on the dropdown next to Levels of detail and search for "Label", and all your labels will be displayed. Then, simply select the one(s) you want to include in the report.

Apply labels as a filter in your reports

Lastly, you can use labels when filtering your reports. Go to Filters, and in the first dropdown, search for "Label". Select the one you want to filter by, and what condition needs to be met. Now, only locations matching this filter will be included in the report.

Apply labels in user management

Labels can be used to segment users, by way of location. Meaning, you can choose to only see users that are attached to a location that matches the label value you have selected.

For example, if Joe works at a location that is in the South region (i.e. the location has been assigned the "South" value of the "Region" label), Joe will show up in the list of users if the filter includes the South region.

Here is how you accomplish this:

  1. Click on Filter to open the filter panel

  2. In the panel, click in the Locations dropdown

  3. A modal opens, where you should click Filter in the top right corner

  4. Now, choose the label(s) you want to filter by, and select the label value(s) you want included

  5. Click Apply filter once finished

  6. With the label filter applied, you can now choose to include all or some locations tied to that label

  7. Click Done once you have selected the locations you want included

With the label filter applied, you will only see users with access to the locations that have the selected label value(s) applied.

Note: Applying labels to filter users currently only work for labels with 30 locations or fewer.
