How to use Waitwhile to automatically remove bookings and visits in different stages.

Waitwhile offers several features that will let you atomically remove bookings and visits from different stages so that your staff do not have to take manual actions that may take time away from other important operational functions.

How to configure Automation settings

  1. From your dashboard, go to Settings and

  2. Select Automation from the sidebar menu.

  3. From here, you'll find a variety of options to automate customer interactions and system behaviors.

Remove visits from the waitlist

Configure this setting to remove waitlisted customers automatically after a set period of time. You can determine:

  • When visits should be removed

  • How the visits should be categorized (e.g. Completed, Cancelled, or marked as a No-show)

  • Whether or not a messages should be sent to the customer when a visit is auto-removed.

Note: This setting works great to keep your line moving and wait times accurate. It is also useful to use if you ask staff to make sure their waitlist is cleared out every night.

Remove bookings

Automatically remove customers with a booking that have not been served after a set time. You can determine:

  • When the booking should be removed

  • How the booking should be categorized (e.g. Completed, Cancelled, or marked as a No-show)

  • Whether or not a messages should be sent to the customer when a booking is auto-removed.

Remove a visit from Serving

Configure this setting to remove customers from serving automatically after a set period of time.

  • When visits should be removed

  • How the visits should be categorized (e.g. Completed, Cancelled, or marked as a No-show)

  • Whether or not a messages should be sent to the customer when a visit is auto-removed.

Note: This is often times used if tracking serve durations is not part of your workflow, but rather want to only serve customers that are on a Waitlist or have a booking to check them in. (E.g. For an event to give them access to a specific footprint or experience)
