A guide to testing Waitwhile before launching to ensure success

Before launching Waitwhile with your customers, it's important to run a few tests to make sure everything works smoothly and aligns with your real-world operations. Testing helps you catch potential issues early, train your staff, and launch with confidence.

Here’s a checklist of what to review and test with your team:

1. Test the customer experience

  • Go to your public-facing waitlist or booking link as if you’re a new customer

  • Fill out the form and join the waitlist or schedule an appointment

  • Review confirmation messages (SMS, email) to ensure they look correct

  • Open the Customer Status Page to confirm wait estimates and visit info are shown

Pro Tip: Try joining on different devices (phone, tablet, desktop) to test responsiveness

2. Test serving & alerting from the Waitlist

  • Login to Waitwhile and navigate to the Visits page

  • Practice serving, alerting, and completing visits

  • Make sure staff are comfortable with each step

3. Review messages & automations

  • Check what messages are being sent at each stage (confirmation, alert, complete, etc.)

  • Look at the content and timing in Settings > Customer messages

  • Send test messages to a staff phone to confirm delivery and content

4. Test staff notifications

If you’ve set up notifications to alert staff of new visits:

  • Make sure team members receive them as expected (SMS, email, push)

5. Test capacity and hours

  • Make sure your business, service, & resource hours and capacity limits are configured

  • Try joining the waitlist outside business hours to confirm it’s blocked or auto-redirected

  • If using appointments, try booking overlapping time slots to test any limits

6. Check Location settings

  • Verify that your Location Name, logo, and links are accurate

  • Check that your public page reflects the right branding and service offerings

7. Clear test data before launch

After testing, you can clear out test visits:

  1. Go to the Waitlist or Bookings tab

  2. Manually delete test entries

Final Pre-Launch Checklist

  • Public links work and look correct

  • Staff know how to serve and manage visits

  • Messages and automations are working properly

  • Capacity, hours, and forms are tested

  • Test data has been cleared

Pro Tip: If you’re using Waitwhile in conjunction with other software (such as point-of-sale systems, CRM tools, or scheduling platforms), ensure that these integrations are working as expected.
