Overview
The Visits page serves as your operational hub for tracking real-time guest flow.
From this view, staff can manually register walk-in guests directly to the Waitlist, schedule a new appointment in the Bookings column, or quickly rebook returning visitors without having to re-enter their information from scratch.
How to create a new visit from the Visits page
Creating a visit on the fly takes just a couple of clicks:
Click the ➕ icon: At the top of your desired column (e.g., Books or Waitlist), click the ➕ button.
Fill out guest details: A slide-out panel will open on the right side of the screen.
Enter the customer's First name, Last name, Email, and Phone number.
Select the Party size and any relevant custom fields or services (such as service type or preferred resource).
Save the visit: Click Add at the bottom of the panel. The visit will instantly appear in the selected column.
Tip: If the customer has visited your location before, searching or typing their details will prompt an auto-fill match, saving time and preventing duplicate guest profiles.
Quickly re-creating a visit for an existing customer
To eliminate repetitive manual data entry, Waitwhile allows staff to spin up a new visit using a customer’s existing profile and past history.
Option 1: From the Completed column
When a returning guest comes back or checks out and wants to queue up again right away:
Locate the guest’s card in the Completed column on the Visits board.
Click the ⋯ (three dots) menu on the top-right of the card.
Select ➕ Create new visit.
Choose your visit type:
Recreate previous visit: Clones the past visit's details (such as the same service and settings), allowing you to rebook or requeue them with minimal adjustment.
Create a new visit (Waitlist / Booking / Serving): Keeps all the customer's existing contact details pre-filled, but lets you select a new destination (Waitlist, Booking, or Serving) and enter the visit-specific details (like service, resource, or notes) manually.
Review the details in the drawer and click Add.
Option 2: From the Customers page
You can also launch a new visit directly from your guest database:
Navigate to the Customers tab in the left-hand navigation bar.
Search for the guest’s profile.
Open their profile details and select the action to Create visit (or Book appointment).
Confirm the visit parameters, all saved contact data transfers over automatically.
Managing visit details and required fields
Depending on your business configuration, the input fields displayed in the creation drawer may vary:
Required fields: Fields marked with an asterisk (e.g., First name) must be filled out before saving the visit.
Customisation: Account administrators can adjust which fields are mandatory, optional, or hidden for staff under Settings > Input Fields.
