How to configure your Waitlist

Learn how to configure your waitlist in Waitwhile

Waitwhile streamlines waitlist management by offering a flexible and user-friendly platform for businesses. Whether you manage a restaurant, salon, healthcare practice, or retailer, or service center, Waitwhile helps you improve customer experiences by efficiently organizing queues and tracking wait times.

How to configure your Waitlist

Step 1: Enable waitlist

To start using the waitlist:

  1. Navigate to Settings: Go to your Waitwhile dashboard and select Settings from the navigation menu.

  2. Enable waitlist: Under the waitlist tab, toggle the option to activate bookings for your location.

Step 2: Edit waitlist hours

  1. Select Edit waitlist hours

  2. Set your waitlist hours. You can set certain days to closed and even create breaks during the day where your business will not be open (e.g. lunch).

  3. Click Save to confirm the changes.

Note: You can also set special hours for holidays or events. These will override your regular hours when needed. To learn more visit our How to set detailed opening hours by date

Step 3: Customize waitlist settings

Once waitlist are enabled, you can fine-tune the General settings:

  • Allow customer to register multiple times: Ensure that each customer can only register to the waitlist one visit at a time. When enabled, customer need to complete their visit before they can join again.

  • Allow flagged customers to join: Enable this setting if you wish to prohibit flagged customers from being able to make a booking.

  • Allow only invited guests to join: Enable this setting if you only want invited guests to be create a booking.

To learn more about the INVITES

  • Limit max number of visits on the waitlist: Control the number of customers that can join the waitlist. (e.g 100 customers). When enabled, the waitlist will automatically close the registration when the max customers has been hit. The waitlist will reopen as you serve customers off of the waitlist.

  • Geofence: Only allow registrations within a certain radius of your location

    1. Enable Geofence: Check this box to enable geofencing for your location

    2. Coordinates: For more accurate geofencing, add latitude and longitude coordinates for your location

    3. Max distance from location: configure the maximum distance the customer must be from your location in order to be allowed to register

Warning: Geofencing is only offered for registration and cannot be applied to check-in at this time.

Now that you have configured your Bookings, you are ready to customize your Customer Actions, giving customers the ability to take actions within Waitwhile as their visit approaches.
