[New settings] How to configure Services in Waitwhile

Learn how to create, add, and manage services in Waitwhile

Setting up services in Waitwhile ensures your business can accurately manage bookings, wait times, and staff assignments. Follow the steps below to configure services and customize them to fit your operations.

How to create a service:

1. Access the Services Settings

2. Add a New Service:

  • Click Add Service.

  • Enter the service name (e.g., "Facial, Manicure, Hot Stone Massage").

3. Assign Service Details:

  • Category: Select or create a category for the service (e.g.Facial, Massage, Nails).

  • Display Name (optional): This is the name that your customers will see on your Waitlist and Booking pages. The Service Name is used by default. (e.g. internal name is sku 111234 Manicure, customer facing name is Manicure)

  • Description (Optional) : Give a brief description of the service to help guide the customer.

4. Set Capacity (Optional):

  • Duration: Specify the length of the service

  • Booking limit per day: Set the limit to how many Bookings your Resource can service per day.

5. Configure Availability:

  • Availability: You can set your service availability to match your business hours or you can set custom schedules for each service for more complex operations.

  • Registration types: Specify whether your service can be offered for your Waitlist, Bookings, or Both.

  • Privacy: Customize the visibility your customers will have during the registration process.

  • Locations: Make this Services available across multiple or only one Location on your Waitwhile account.

6. Save Changes

  • Click Save to finalize the service configuration.

Optional Configurations:

  • Price: Add a price for each service which can be displayed or hidden from customer view during the registration. If your subscrption plan includes revenue analytics, this field will be used to calculate different stats and behaviors.

  • Currency: Let your customers know ahead of time their expected costs.

  • Buffer time: time added to your Service duration to allow you ample time to prepare for the next visit and make sure that your Bookings aren't overlapping. If you aren't using the Service duration, we recommend you keep this blank.

  • Image: Add an image to accompany the resource for better visibility for your customers.

  • Color: Customize the color resource which can appear on the visits page & calendar page for better staff visibility.

  • Order: Customize the order in which Services appear on your public registration pages, by manually ordering them 1 to ... The default value is set to 0.

  • Meta data: Enable the ability to assign meta data to your services when using Waitwhile's API. For example, this can be used to offer sub-services or additional layers of granularity when selecting a service category.

Ability to use the meta data feature is only available on the Enterprise plan. Read more about our different plans on our Pricing page.

How to manage Services

  1. Edit existing Services: Click the three-dot menu next to the service to update details or availability.

  2. Deactivate or delete: If a service is no longer needed, you can deactivate it (temporarily remove it from the booking flow) or delete it permanently.

Warning: Deleting a Service that is shared across multiple locations, will DELETE it from all locations it is connected to. However, it will NOT remove any existing bookings, but will remove the service selected.

By properly configuring services in Waitwhile, you ensure smoother operations, reduce booking conflicts, and enhance the customer experience.
