In Waitwhile, RESOURCES refer to the tools, spaces, equipment, or personnel required to perform specific services or manage bookings efficiently. Resources help businesses ensure the right items or staff are available at the correct time to deliver a seamless customer experience. By assigning resources to services, Waitwhile can automatically track availability, prevent overbooking, and optimize scheduling.

What are Resources

At Waitwhile, a Resource is a person, place or thing that is providing a Service for your customers.

Example resources:

  1. Healthcare Clinic: Treatment rooms, medical equipment, or doctors.

  2. Restaurant: Tables or private dining spaces.

  3. Salon or Spa: Massage rooms, hair stations, or stylists.

  4. Event Venues: Projectors, conference rooms, or AV equipment.

  5. Fitness Studio: Gym equipment or personal trainers.

You can add or adjust your Resources in the Resources section of your Location settings by going to Location settings > Location > Resources.

What are Resources categories

Resource categories in Waitwhile help you organize and group of similar resources (such as staff, rooms, or equipment) to streamline scheduling and management. By assigning resources to specific categories, businesses can ensure that the right type of resource is available when needed. For example, in a salon, you might create categories like “Stylists” or “Salon chairs,” while a healthcare facility could have categories such as “Doctors” or “Examination Rooms.”

Example resource categories:

  • Healthcare Clinic: Treatment rooms, Lab technicians, psychology

  • Restaurant: Tables or private dining spaces.

  • Spa: Esthetician, Nail Technician, Massage Therapist

How Resources Work in Waitwhile:

  1. Assign Resources to Services: Businesses can link specific resources to a service. For example, if a service requires a specific room or equipment (like a massage table), it will only be bookable if that resource is available.

  2. Availability Management: Waitwhile tracks resource availability in real time, preventing double bookings. This ensures that a resource isn’t scheduled for two guests or services simultaneously.

  3. Capacity Control: Resources can have capacity limits, indicating how many times they can be used within a given timeframe (e.g., a room available for only 4 appointments daily).

  4. Automatic Resource Allocation: For services that require multiple resources (like both a technician and a treatment room), Waitwhile ensures that all assigned resources are available before confirming a booking.
