Sales tax compliance on Waitwhile subscriptions

This article explains how to submit your tax exemption certificate to avoid sales tax on your Waitwhile invoices.

To comply with state and local tax regulations, Waitwhile is now required to collect sales tax on subscriptions for our queue management and appointment scheduling platform in certain jurisdictions.

If your organization is tax-exempt, you must provide a valid sales tax exemption certificate to ensure sales tax is not applied to your upcoming invoices.

Taxable jurisdictions

Waitwhile is currently registered to collect sales tax on subscription services in the following states:

  • New York (NY)

  • Pennsylvania (PA)

  • Ohio (OH)

  • Washington (WA)

Why this matters

Tax laws for Software as a Service (SaaS) and digital subscription services vary by state. In the locations listed above, Waitwhile subscriptions are considered taxable unless a valid tax exemption certificate is securely on file and approved.

Submitting your exemption documentation ensures that:

  • Your organization’s tax-exempt status is accurately recorded.

  • Applicable invoices are not charged unnecessary sales tax.

  • Your billing settings remain fully compliant with local tax regulations.

How to submit your tax exemption certificate

There are two ways you can submit your documentation to our billing team for review:

Option 1: Upload Through CertExpress (Recommended)

You can quickly upload your details directly through our automated partner portal for faster processing. 👉 Upload via CertExpress

Option 2: Submit by email

Alternatively, you can email a digital copy of your sales tax exemption certificate(s) directly to our team at sales.tax.certificates@allegion.com

Designating your account as tax-exempt

To flag your business as tax-exempt within the Waitwhile platform, please update your billing profile:

  1. Navigate to your Settings dashboard.

  2. Select Billing from the menu options.

  3. Under the Billing Details section, check the box to designate your business as tax-exempt.

Warning: Checking this box flags your account, but your sales tax will not be automatically waived until our finance team reviews and approves the formal certificate you submitted via Option 1 or Option 2 above.

If a valid exemption certificate is not received and approved prior to your next billing cycle, applicable sales tax may be automatically added to:

  • Subscription renewals

  • Recurring monthly/annual invoices

  • New SMS message credit purchases

Charged tax in error?

If your organization has been charged sales tax but should be exempt, please contact our dedicated billing team immediately at billing@waitwhile.com.

Please include your account name and the invoice number in your email so we can correct your billing as quickly as possible.
