How to set up away statuses

Learn how to set up and manage away statuses for your staff in Waitwhile.

This guide walks you through creating presets, enabling them in the resource modal, and applying them across locations for consistent availability management.

Note: This feature is only available on Business and Enterprise plans.

Create preset away statuses

  1. Click Away statue presets.

  2. Name it (e.g., Lunch break, 10-min break).

  3. Set a duration.

  4. Click Save.

Note: Keep the list short so staff can pick quickly.

Copy presets across locations

  1. Set up presets in one location first.

  2. Go to Account overview > Locations.

  3. Select the source location > Copy Settings.

  4. Choose “resourceIsAwayReasonPresets”.

Edit or add one-off statuses

If enabled, staff can create a custom one-off status directly from the Resource modal on the Visits page or User menu.

Availability prompt

If a staff member is set to Away or Unavailable and becomes active in Waitwhile again (for example by navigating or taking an action) after being idle, Waitwhile can show a prompt asking if they want to switch back to Available.

Configure the prompt

  1. Go to Settings (Users with admin permission only)

  2. Enable Show availability prompt
    Prompts staff to set themselves as available if they are active in Waitwhile but have an away status.

  3. Set the Idle time before prompt

If the prompt is dismissed, it will be shown again after the same idle time interval.
