How to invite a new user in Waitwhile

Learn how add member of your team, coworker, or employee to your Waitwhile account

Inviting new users to your Waitwhile account allows your team to collaborate efficiently and manage customer flows seamlessly. Follow these steps to add a new user to your account.

Steps to Invite a new user in Waitwhile

  • Click on Account overview in the left-hand menu located on your avatar.

  • Select Users

3. Add a new user

  • Click the "Invite User" button.

  • Enter the Name of the person you want to invite

  • Enter the email address of the user you want to invite

Note: An email invite will be sent to the email address entered. The invited user will then accept the invite and create their own password.

4. Assign the user to a location(s)

  • Select which location or group of locations the user should have access to view and operate

5. Assign a role to the user

Choose the appropriate role for the new user. Below is a list of our default roles within Waitwhile.

  • Owner: Can do everything an Admin can do and also manage account plan and remove the account

  • Admin: Full access to all settings and data.

  • Editor: Can read, create, update and delete customers but can not change settings.

  • Reader: Can only read customer data and not create, update or delete customers or change settings.

5. Connect to a Resource

  • Connect your user to a dedicated resource if your business need require.

    Example: Sarah is a new stylist at your salon. She will login to Waitwhile to create appointments, serve customers, check them out. She is also a stylist that can serve customers that come in for a hair cut, blow dry, and beard trim. In this particular case, Sarah would be a user and connected to a Resource.

6. Send the invitation

  • Click "Invite user". The new user will receive an email invitation to join your Waitwhile account.

7. User accepts the invite

  • The invited user openS the email and click on the accepts the invite.

  • They will be prompted to create a password and log in to the account.

Managing users in Waitwhile

From the User settings, you can also manage your invites, existing users, and those that may need to be removed.

✅ You can change a user role at any time

✅ You can update an email address of an existing user.

✅ You can change a users assigned location.

✅ You can resend the invitation.

✅ You can remove users that no longer should have access.

Troubleshooting common User invite issues

  1. User didn’t receive the invitation email? Ask them to check their spam/junk folder or resend the invitation.

  2. Can’t invite a user? Ensure you have Admin privileges to add new users.

  3. Receive an error message when you try to invite a user? There could be several reasons for this and may require further investigation. Please reach out to support for assistance.

    1. The user is already a user within your account but tied to a location you cannot view

    2. The user is tied to a separate Waitwhile account.

    3. The user was previously deleted from your Waitwhile account, but not fully deleted from Waitwhile.

  4. User is unable to access features? Double-check their assigned role and permissions.
