Managing your locations in Waitwhile is essential for maintaining an organized account. If a location is no longer needed, you can either delete or deactivate it. Managing locations can also impact your subscription plan tier and pricing, depending on the number of active locations in your account.

  • Deactivating a location keeps its data intact while making it inactive.

  • Deleting a location permanently removes it and its associated data.

Steps to Delete or Deactivate a Location

  1. Log In to Your Waitwhile Account

    • Use your administrator credentials to access the Waitwhile dashboard.

  2. Navigate to the Locations Page

  3. Select the Location to Manage

    • Click the three-dot menu to the right of the location you want to delete or deactivate.

  4. Deactivate the Location

    • To deactivate: Select deactivate

The location will no longer appear as active and will be automatically filter out from your default view, but its data will remain accessible for future reference.

  5. Delete the Location

    • To delete: select Delete

      • Confirm your decision by following the on-screen prompts.

Key points to note

  • Data preservation: Deactivating a location keeps all data (including customer and visit history) intact, so you can re-enable it later. Deleting a location permanently removes all associated data.

Note: Deleted location data can’t be recovered.

  • Customer impact: Deactivated locations are hidden from public links and the location directory, and you can’t add or move visits while the location is deactivated. Deleted locations are no longer accessible to staff or customers. If you need to keep history but stop taking new visits, deactivate (don’t delete).

  • Access permissions: Only Owners and Admins with access to the relevant location(s) can deactivate or delete locations.

Note: If you need to keep history but stop taking new visits, deactivate (don’t delete).

  • Plan tier restrictions: If your plan has a location limit, you may need to deactivate or delete extra active locations (e.g., when downgrading to a single-location plan).

Note: Deactivated locations typically won’t count toward active location limits.
