Why & How you should link your Users to your Resources in Waitwhile.

Linking resources to users in Waitwhile ensures that specific staff members (or users) are assigned to the right tasks, services, or equipment. This setup allows for precise scheduling, reducing the chance of booking conflicts and improving overall workflow.

Benefits of Linking Resources to Users:

  • Clear Staff Assignments: Ensure the right person or team is assigned to the correct customers.

  • Efficient Scheduling: Prevent double bookings or overlapping shifts.

  • Improved Customer Experience: Customers interact with the appropriate staff members, enhancing service quality.

  • Advanced Staff Analytics: View resource metrics to understand those staff that are most efficient and who may need additional training.

Steps to Link Resources to Users:

  1. Go to the Resource Settings:

  2. Select or Add a Resource:

    • Choose an existing resource or click Add Resource to create a new one.

  3. Assign a User to the Resource:

    • In the resource's settings, locate the Link to User field.

    • Select the user (staff member or employee) from the dropdown list.

  4. Save the Configuration:

    • After assigning the user(s) to the resource, click Save to apply the changes.

Note: You can only link a resource to one (1) User at a time.

Assigning new Users:

When linking your Resources, if the User does not currently exists in your account, add an email address in the Resource configuration and Waitwhile will automatically send an invite via email to create their user credentials within the assigned location(s).

Managing User Assignments:

  • Edit or Update Users: If a staff member's role changes or they no longer use a resource, return to the resource settings to modify the assigned user.

  • Deleted Users: If a user is deleted from your account, the Resource will remain along with any associated visits and/or bookings. However, the user connection will be removed and it will become an unlinked Resource.

By linking resources to users, Waitwhile ensures seamless coordination between staff, services, and resources, reducing operational friction and ensuring a smooth customer journey.
