How to configure & manage your Resource categories

Resource categories in Waitwhile help businesses organize and manage different types of resources, such as staff members, rooms, tables, or equipment. By categorizing resources, businesses can streamline scheduling, improve availability management, and enhance customer experience.

How to create a Resource category

  2. Click Create category.

  3. Give your category a Name (e.g., "Tables", "Rooms", "Stylists", "Therapists").

  4. Determine whether selecting a resource from this category is required or optional

  5. Select who can assign resources (can the customer select the resource or should they be auto-assigned based on availability)

  6. Choose which type of registration can be assigned to the resource category (Bookings, Waitlist, or both)

  7. Determine the privacy of your category by selecting whether it is publicly available or restricted.

  8. Select which locations this resource category should be applied to.

  9. Click Save to apply the category.

How to assign a Resource category

  1. Click on an existing resource or add a new resource.

  2. In the Category field, select the appropriate category from the dropdown menu.

  3. Click Save to confirm the changes.

4. Customize Resource category settings

Once a category is created, you can:

  • Set default availability for all resources in a category.

  • Prioritize resource assignment within categories.

  • Enable category-based filtering for easier resource selection.

  • Set the category privacy to determine whether customers see the resources or not.

  • Display a different resource category name on your public pages than what your staff will see (e.g. Room Number 1 vs. RN1)

  • Provide a description of resource category to help guide your customer during the registration journey

  • Add an image to visually represent this resource category for internal use

  • Limit the number of resources that can be selected by a customer for a single visit within the category

  • Determine any restrictions for resource that operate within a different category

  • Includes or exclude the category when estimating wait times

  • Specify how this category is pre-selected for staff when creating visits

  • Determine the order the category appears in relation to the other categories.
