What are Resources?

While Services are the 'things your business does', the Resource is the 'person/thing that provides the Service' for your customer. In a Barber shop, the Resource would be the Barbers. In a Veterinarian's office, the Resource might be the Doctor, a piece of equipment (X-ray), or an Exam Room. At a gaming conference, the Resource might be different gaming exhibits or different movies at a film festival. Resources are the 'bookable options' that you want your customer to select from and you want to gather analytic information on while they are using the program. You can add Resources by going to Settings/Resources and clicking the 'Add Resource' button.

When you add a Resource, the options are as followed:

  • Resource Name: This is the name that you want listed for the Resource.

  • Category Name: If you have multiple Categories for the different types of Resources you offer, you can list (and choose) from them here. *TIP: Don't over think this - the more options you put here, the more complicated it is for the customer. Keep it simple.

  • Description: If you need to give any details about what or who this Resource is for your customer, this is where you would add those here. TIP: We recommend keeping this short to keep your Check-In page neat and clean.

  • Phone: If you've signed up for the Business Subscription, your Resources can be alerted when someone joins the waitlist or makes a Booking for them.

  • Email Address: Want your Resources to become Users and login to manage their own customer flow? Add their email address here and Waitwhile will send them an auto invite to join your Waitwhile account!

  • Public/Private: This toggle determines whether or not your customer can (public) or cannot (private) see this Resource option.

  • Locations: Make this Resource available across multiple or only one Location on your Waitwhile account.

  • Available for Booking/Waitlist: Make this option only available on your Waitlist or only 'bookable' by appointment only with this dropdown menu.

  • Max number of Customer: Some resources are able to serve more than one customer at a time, though the default for this is 1.

  • Order: What resources your business has may change over time, but you can still keep them in a preferred order by assigning a numerical value. The default value if saved blank is 0, and all 0's is the order in which you created them.

  • Set available hours: By setting the member's Working Hours (including Breaks) you can ensure that they won't be available to select outside of these hours. These hours can be set differently between Bookings and/or Waitlist, depending on which the Resource is available to.

  • Services provided: Assign specific Services according to what someone or something is able to offer, preventing any unwanted surprises

  • Normal speed to complete service: Just because a Service tends to take a set amount of time doesn't mean that may vary across different Resources.

Linking 'Resources' to Users

Many businesses like to link their Resources to Users, giving their employees a way to login with their User information (email/password) and only see the Waitlist and Booking information that pertains to them.

When you create a Resource and add an email address in the field, this automatically sends out an invite for that person to create a User ID for that Waitwhile location. If you want to connect your Resource to an already created User, you can use the drop down menu in the top right corner of the Resource details.

Alert your Staff when someone is waiting

One of my favorites features of Waitwhile is the ability to automatically send your staff members an SMS or Email whenever someone is waiting for them in your waitlist.

Imagine that your staff members Chris is milling about his business, until he gets this text:

He now knows he has to pick up Sarah and gets to it!

So how do you set this up? It's easy! Your Staff members can turn it on under your SMS Settings (or Email Settings, if you prefer to notify through email!) under the Staff Alert toggle.

*ProTip: Don't over complicate it! If your business only has one 'thing' that does the different Services, don't add it to your list. A great example of this is a haunted house - your customer knows that they are here for the haunted house experience, so there is no need to have a 'Haunted House' Resource for them to select.
